Those who often print something, whether at home or at work, sometimes face a similar problem: when you send a file for printing, the printer does not seem to respond (or it “buzzes” for several seconds and the result is also zero). Since I often have to solve such issues, I will say right away: 90% of cases when the printer does not print are not related to the breakdown of either the printer or the computer.

In this article, I want to give the most common reasons why the printer refuses to print (such problems are solved very quickly, for an experienced user it takes 5-10 minutes). By the way, an important note right away: the article does not talk about cases when the printer, for example, prints a sheet with stripes or prints blank white sheets, etc.

5 most common reasons why it doesn't print a printer

No matter how ridiculous it may sound, but very often the printer does not print due to the fact that they forgot to turn it on (I especially often see this picture at work: the employee next to whom the printer is standing simply forgot to turn it on, and the rest of the 5-10 minutes are sorted out what's the deal...). Usually, when the printer is turned on, it makes a buzzing sound and several LEDs on its body light up.

By the way, sometimes the printer's power cable can be interrupted - for example, when repairing or when moving furniture (very often happens in offices). In any case - check that the printer is connected to the network, as well as the computer to which it is connected.

Reason number 1 - the wrong printer is selected for printing

The fact is that in Windows (at least 7, at least 8) there are several printers: some of them have nothing to do with a real printer. And many users, especially when in a hurry, simply forget to look at which printer they send the document to print. Therefore, first of all, I recommend paying attention to this point again when printing (see Fig. 1).

Reason #2 - Windows Crash, Print Queue Hanging

One of the most common reasons! Quite often, a banal freeze of the print queue occurs, especially often such an error can occur when the printer is connected to local network and it is used by several users at once.

Just as often, this happens when printing some kind of "spoiled" file. To restore the printer, you need to cancel and clear the print queue.

To do this, go to the control panel, switch the view mode to "Small icons" and select the "devices and printers" tab (see Fig. 2).

After that, in most cases, the printer starts working normally and you can resend the desired document for printing.

Reason #3 - missing or jammed paper

Usually when the paper is low or jammed, a warning is given by Windows when printing (but sometimes there is none).

Paper jams are a fairly common occurrence, especially in organizations that save paper: they use sheets that have already been in use, for example, when printing information on sheets with reverse side. Such sheets are most often wrinkled and you can’t put them in an even stack in the receiving tray of the device - this is why the percentage of paper jams is quite high.

Usually rumpled sheet is visible in the case device and it must be carefully removed: just pull the sheet towards you, without jerking.

Important! Some users tear out a jammed sheet in jerks. Because of this, a small piece remains in the device case, which prevents further printing. Because of this piece, for which you can no longer catch on, you have to disassemble the device to the “cogs” ...

If the jammed sheet is not visible- open the cover of the printer and remove the cartridge from it (see Fig. 5). In a typical design of a conventional laser printer, most often, behind the cartridge, you can see several pairs of rollers through which a sheet of paper passes: if it is jammed, you should see it. It is important to carefully remove it so that there are no torn pieces left on the shaft or rollers. Be careful and careful.

Reason #4 - driver problem

Usually, problems with the driver begin after: changing the Windows OS (or reinstalling); installation of new hardware (which may conflict with the printer); software failure and viruses (which is much less common than the first two reasons).

To get started, I recommend going to the Windows control panel (switch the view to small icons) and open the device manager. Open the Printers tab in Device Manager sometimes called a print queue) and see if there are any red or yellow exclamation marks (indicating driver problems).

And in general, in general, the presence of exclamation marks in the device manager is undesirable - it indicates problems with devices, which, by the way, can also affect the operation of the printer.

The last thing I wanted to dwell on in this article is on the cartridge. When ink or toner runs out, the printer either prints blank white sheets (by the way, this is also observed simply with poor-quality ink or a broken head), or simply does not print at all ...

I recommend checking the amount of ink (toner) in the printer. You can do this in the Windows OS Control Panel, in the "Devices and Printers" section: by going to the properties of the required equipment (see Fig. 3 of this article).

In some cases, Windows will display incorrect information about the presence of paint, so you should not fully trust it.

When running out of toner (when dealing with laser printers), one simple tip helps a lot: you need to get the cartridge and shake it a little. The powder (toner) will be evenly redistributed throughout the cartridge and you will be able to print again (though not for long). Be careful during this operation - you can get dirty with toner.

Today we will try to answer the following question: why the printer does not print and what to do with the situation that has arisen. There can be a lot of reasons here, related both to the technical problems of the device, which can be easily fixed manually, or to the software part of Windows. You need to try to shove them a little deeper into the receiving hole of the printer. If it does not help, then move the sheets either all the way to the right or to the left. Tray still won't accept A4? Turn off your device, restart your computer, then plug everything back in. Still unsuccessful? So the situation is really serious. Let's figure it out!

Checking Windows Settings

First, let's check if it's disabled. this device in the computer itself. Go to "Start" - "Devices and Printers". In the window that appears, look for your printer model and pay attention to the printer icon, if it is discolored, so to speak, then you need to check the contacts. Because this indicates that the drivers are installed on the computer, but the computer does not see this device.

You also need to make sure that the printer on which you are going to print the document is the default device. This is done as follows: we go to the same "Devices and Printers" in the "Start" menu, at the bottom left on the icon there should be a green check mark. If there is no checkmark, then click on the desired printer right click mouse and select "Set as Default".

If none of the above has any effect on solving the problem of why the printer does not print from a computer or laptop, then let's try restarting the print manager. Before starting the procedure, disconnect all connecting wires from the printer. Now go to "Start" - "Control Panel" - "System and Security" - "Administrative Tools". Double click on "Services". Find "Print Manager" in the list and go to the properties with the right mouse button.

On the "General" tab, opposite the item "Startup type" should be set to "Automatic". If this is not the case, correct it. Also, in the "Status" button, the "Stop" button should be active, if this is not the case, then click on the "Run" button and save the changes by clicking on "OK". Now right-click again on the name of the service "Print Manager" and find the inscription "Start". Click it. Is there such an inscription? So everything is in order and you did everything right.

Are printer drivers installed?

So, your printer still does not print, what do you not know to do? If you still don't have the printer drivers installed, please install them from the supplied CD as soon as possible. You saw above that in my case everything is fine with the drivers, but if you do not see the printer at all, then the problem is most likely in the drivers.

Sometimes there are problems even with installed drivers! If you installed the drivers, but the printer still does not print, then you need to remove the driver from the printer and reinstall it. This problem is very common, so you should not ignore it.

Print queue

As an option, I can also suggest clearing the print queue. To do this, we go to the "Devices and Printers" already familiar to us, located in the "Start". Then we right-click on our printer, select "View Print Queue". We delete absolutely everything that is in the window that appears, if it is empty, just close it, this is clearly not the problem.

If the queue is not deleted, then you need to restart the computer. After that, go back to this window and try to delete the queue. It is possible that these manipulations will not lead to anything. Then disconnect all the wires from the computer that are related to the printer and try to clean it.

Does not print in a certain program or there is a problem with the ports

For example, you want to print an MS Word document and everything freezes (there is such a problem), then you need to open another program and try to print any document from it. To do this, open, type a few letters in this program and print.

If the printer prints, then the problem is in the program. You will need to uninstall it and reinstall it. If there was no printing, then most likely the problem is in the printer.

Another pitfall that you should be aware of is misuse of the port. To check this, let's go to Devices and Printers again. Right-click on the device of interest to us, select "Properties". On the "Ports" tab, carefully look at the set value. It should be USB type, if the wrong port is used, choose the correct one from the list. Save changes and close all windows. Now disconnect the printer from the computer for a couple of seconds and connect it again. Everything must work.

For inexperienced users, I remind you: when printing a document, in any program, pay attention to which printer you are sending this document to. Sometimes, users choose the wrong printer they need.

If the cartridge is not new and has been refilled several times, its parts are most likely defective: the photoconductor or the roller. In addition to these parts, there are others that can wear out during operation and affect print quality, so it is better to invite specialists to replace worn parts.

Diagnosing printing problems is very difficult for a non-specialist. Therefore, it is recommended to check everything in the order described above. And the problem itself, as you can see, is quite easily eliminated. To do this, it is not necessary to contact the repair shop.

In addition, when refilling the cartridge yourself, it is very important to be careful not to "air" the ink supply system in the case of inkjet printers. And on a laser device - do not get dirty, do not scratch the drum or knock down the spring that fixes the gears.

In any case, if after refilling the printer works, but does not print, you need to turn to professionals, to the workshop, so as not to spoil it completely. Cartridge prices are sometimes half the cost of the entire device, so you should be very careful when refilling.

Sometimes ink cartridges dry out. Therefore, after reloading, be sure to print a few pages to check. If this does not work, the cartridge requires soaking in a special solution.


Most printer problems are due to software bugs, but they are easy to fix on your own without going to a computer repair shop. If the error persists, contact a specialist.

When refilling a cartridge is required, it is necessary to carefully study all the information and follow the instructions clearly, and for inkjet printers it is generally better to install a special ink supply system. Thanks to this, most problems can be avoided.

Using a printer, you can output digital information to paper, but quite often it does not work correctly. In most cases, the problems that prevent the computer from detecting the printer are not serious and can be easily solved even by an inexperienced PC user. But if none of the methods helps, then this means that the breakdown is serious, or the printer has its own individual characteristics in operation (such models are extremely rare).

Hardware check

A common cause of a printer not working is a loose USB cable from the port. In this case, the computer recognizes the device as not connected. Also, do not forget that the printer may run out of ink. If this is the case, then a special indicator will light up on the case, and when you try to print something, an error window is displayed or the device will work “idle”.

If the proposed options did not help, then there are two algorithms for the development of events:

  • serious damage to the printer, i.e., it will have to be carried for repair or replaced with another device. Fortunately, this is rare.
  • problem with the software component. As a rule, these are outdated or removed drivers.

Reason 2: Incorrect equipment connection

It is possible that the printer is not properly connected or is not connected to the computer at all. So at this stage, you should double-check all cables, both at the output / input from the printer, and at the output / input of a PC or laptop.
